Quick answer

Play calm music broken up by short messages: 8 to 15 seconds each, roughly every 30 to 45 seconds. Lead with reassurance, then a self-service tip such as your app, then an offer or seasonal notice. Write them in your callers’ dialect and never play the same message twice in a row. Generate them in Vocla in one voice, then convert to 8 kHz mono WAV.

01What to play while callers are on hold

Hold time is the heaviest part of any call. Callers hear a looping tone or silence and start wondering whether they’ve been cut off or forgotten. Good on-hold messages answer that before it’s asked: you’re still in the queue, here’s a faster route if one exists, and here’s something worth knowing while you wait. They should also use the same voice as your greeting, so callers feel they’re still talking to the same business.

The format that works on most systems is simple: calm music throughout, with short messages in rotation. You need four kinds:

Message typePurposeTarget lengthWhen it plays
ReassuranceYou’re in the queue, the line is live6 to 10 secondsFirst, then every loop
Self-serviceA faster route: app, website or WhatsApp10 to 15 secondsSecond in the loop
Offer or newsSomething genuinely useful10 to 15 secondsThird, never first
SeasonalRamadan hours, Eid closure, national days10 to 15 secondsOnly in season
Tip

A hold message is not an ad. The caller rang because they need something, so don’t open with a promotion. Reassure first and keep the offer to one sentence, third in the loop.

02Reassurance messages in your callers’ dialect

The reassurance line is the one callers hear most, so it has to be short, warm and bearable on repeat. Skip “your call is important to us”; callers hear it as a warning that they’ll be waiting a while. Tell them what is actually happening: the team is busy and their place is saved. Three Gulf versions:

Reassurance · SaudiSaudi · ar-SA

Thanks for waiting. All our team are busy right now, and we’ll be with you in a moment. Stay on the line; your place is saved.

Reassurance · EmiratiEmirati · ar-AE

Thank you for your patience. Our team are answering other customers right now, and we’ll be with you as soon as possible. Don’t hang up; your turn is saved.

Reassurance · KuwaitiKuwaiti · ar-KW

Thanks for holding. The team are a little busy, but your turn is saved and we’ll answer you right away. Stay with us.

Each version uses its own country’s words: الحين (now) and خلك على الخط (stay on the line) in Saudi, وياك (with you) and لا تسكّر (don’t hang up) in Emirati, ويانا (with us) and شوي (a little) in Kuwaiti. Those small details make the message sound like someone in the same city, not an imported system.

Heads-up

Don’t promise a specific wait such as “one minute” unless your phone system actually calculates it. An inaccurate promise is worse than none.

03Self-service tips and offers

The second message gives callers a faster route, if you really have one: order tracking in the app, online booking, a WhatsApp number. Name the exact step, the button or page, rather than a vague “visit our website”.

Self-service · EgyptianEgyptian · ar-EG

Thanks for waiting with us. If you want to track your order without waiting, open the app and tap “My orders”; you’ll find everything there. If you’d rather carry on, stay with us and we’ll answer right away.

Self-service · LebaneseLebanese · ar-LB

Did you know you can book your appointment online in a minute? Visit our website and pick the time that suits you. If you’d rather speak to someone, stay with us; we’ll answer you shortly.

Then the offer: one clear sentence about what matters to the caller and how to use it. A Saudi example for a restaurant or store:

Offer · SaudiSaudi · ar-SA

While you wait, some good news: every app order this week gets free delivery. Download the app and order without waiting.

Tip

Update the offer message with every new promotion and delete it the day it ends. An expired offer on hold creates a second complaint call. In Vocla, changing it means editing one line and regenerating one file.

04Seasonal messages and an English branch

During Ramadan, both Eids and national days your opening hours change, and hold is exactly where callers need to hear that. Keep a separate seasonal file, swap it in on day one and switch back when the season ends. An MSA example for Ramadan hours, suited to a mixed audience:

Ramadan hours · MSAMSA · ar

Thank you for waiting. During the holy month of Ramadan we take calls from 10 a.m. to 4 p.m. and from 9 p.m. to 1 a.m. One of our team will be with you shortly.

If your menu has an English branch, don’t translate the Arabic word for word. Write it the way a native English speaker would, in the same voice if it’s bilingual or in an English voice close to your brand persona:

Reassurance and self-service · EnglishEnglish · en
Thanks for holding. All of our team are helping other customers right now, and you’ll be next in line shortly. Did you know you can track your order any time in our app? Just tap “My orders”.

Ordering the Arabic and English branches in one system is covered in our bilingual IVR guide, and holiday and after-hours prompts have their own article.

Heads-up

Ramadan and Eid dates depend on the moon sighting and are confirmed shortly beforehand. Prepare seasonal files early without fixed dates, or edit the date at the last minute and regenerate.

05Loop length and message order

Most phone systems play hold as a loop: continuous music with a message every so often. Some take a single file with music and messages already mixed; others let you set a music file and a periodic announcement separately. Check your system’s documentation first. If you build a single mixed file, here’s a practical two-minute loop:

TimeWhat plays
0:00Music
0:20Reassurance message
0:30Music
1:00Self-service message
1:15Music
1:45Offer or seasonal message
2:00Music, then the loop restarts
  • Don’t open with a message: callers just heard the greeting, so give them about 20 seconds of music first.
  • Never play the same message back to back: with only two messages, leave enough music between them.
  • Make the loop longer than your typical wait: if callers usually hold for three minutes, a one-minute loop means hearing every message three times.
  • Level the audio: messages and music at similar loudness, with speech always clearer than the music.
Tip

Call your own line from a mobile and hold for five full minutes. If you’re bored, your customers were bored first. Add a fourth message or stretch the music between them.

06Hold music and phone-ready file formats

Hold music should be calm, with no sudden peaks, because phone lines compress audio and heavy hits turn harsh. Vocla’s Music tool generates original instrumentals from a prompt such as “calm electronic music at a medium tempo, no heavy drums, for telephone hold music”, and commercial use is included on paid plans. If your brand already has an approved music bed for ads, use the same style here so your sonic identity stays consistent.

Vocla exports messages and music as separate files and doesn’t mix them automatically outside Vocla Video. If you need one mixed file, combine them in any audio editor, or upload them separately if your system supports that. Then convert: Vocla exports MP3 or WAV at 24 kHz (WAV on paid plans), while most phone systems want 8 kHz mono 16-bit PCM WAV, and some want G.711 µ-law or A-law.

Your system expectsFree ffmpeg command
8 kHz mono PCM WAVffmpeg -i hold.wav -ar 8000 -ac 1 -acodec pcm_s16le hold-8k.wav
G.711 µ-lawffmpeg -i hold.wav -ar 8000 -ac 1 -acodec pcm_mulaw hold-ulaw.wav
G.711 A-lawffmpeg -i hold.wav -ar 8000 -ac 1 -acodec pcm_alaw hold-alaw.wav

Vocla has no built-in phone-system integration: you upload the converted file as music on hold or an announcement, just as you would a studio recording. The IVR page has more on conversion and notes for common platforms.

Heads-up

Listen after converting and before uploading. 8 kHz strips the high frequencies, so detailed music sounds dull on a phone line; clear mid-range sounds survive best.

07Set it up in Vocla step by step

  1. 1Write the messages: reassurance, self-service and an offer, plus a seasonal file ready to go. Need a starting point? The IVR script builder drafts a hold message alongside the greeting and menu.
  2. 2Use your greeting voice: same voice, same dialect, same speed as your phone greeting.
  3. 3Lock pronunciation: add the brand, app and branch names to the pronunciation dictionary.
  4. 4One file per message: so you can change the offer without redoing the rest.
  5. 5Generate music, then mix or upload separately: whichever your system supports.
  6. 6Convert and test: 8 kHz mono WAV, then call in and hold through a full loop.

Paste it into Vocla, generate one file per message, then export mono WAV at 8 kHz for your phone system.

Cost is small. Four messages of about 150 characters each come to roughly 600 characters, or 720 credits on the Vox Prime model. Starter, at $4.99 a month for 5,000 credits with commercial rights and WAV export, covers your hold messages along with the greeting, menu and seasonal updates.

Hold messages are part of a bigger picture: one voice customers hear in your greeting, your queue and your ads. If your greeting isn’t done yet, start there, then read our sonic branding guide.

Key takeaways

  • Good hold audio is calm music with 8-to-15-second messages roughly every 30 to 45 seconds.
  • Order the loop: reassurance, then self-service, then an offer or seasonal notice, never the same message twice in a row.
  • Write in your callers’ dialect and your greeting voice, and keep separate files for Ramadan and Eid.
  • Export from Vocla, convert to 8 kHz mono WAV, µ-law or A-law as your system requires, and test a full loop.

Frequently asked questions

How long should an on-hold message be?

About 8 to 15 seconds, or two to three sentences. Longer messages wear thin on repeat, and shorter ones rarely carry anything useful.

How often should hold messages play?

Roughly every 30 to 45 seconds, with music in between. Make the full loop longer than your average wait so callers don’t hear the same message over and over.

Should Arabic hold messages be in MSA or dialect?

Match your greeting. If the greeting is in Saudi Arabic, keep the hold messages in Saudi with the same voice; if your callers come from many countries, simple MSA is the safer choice.

Does Vocla mix the music and messages into one file?

Outside Vocla Video, messages and music are generated as separate files. Mix them in an audio editor, or upload them separately if your phone system plays hold music and periodic announcements independently.

What file format do phone systems need for hold music?

Most want mono WAV at 8 kHz, 16-bit PCM; some require G.711 µ-law or A-law. Export WAV from Vocla and convert it with a single ffmpeg command.
