Quick answer

A good after-hours phone message runs 15 to 25 seconds and tells callers four things: you're closed now, exactly when you reopen, what they can do right now (WhatsApp, your app or a voicemail), and an emergency number if you have one. Record it in your callers' language and prepare weekend, Ramadan and holiday versions ahead of time.

01What an after-hours phone message should say

Someone calling after hours has one question: can I get this sorted now or not? A good message answers fast and offers another route, so they don't hang up annoyed and dial your competitor. These are the parts we put in every message, in this order:

  1. 1Greeting and name: a short line with the company name so callers know they dialled correctly.
  2. 2Status: “We're closed right now,” stated plainly.
  3. 3Hours: exact days and times, such as “Sunday to Thursday, 9 a.m. to 5 p.m.”
  4. 4What to do now: WhatsApp, your app, your website, or a voicemail after the tone.
  5. 5Emergencies: if you have an emergency line, give the number clearly and repeat it.
  6. 6Close: a brief thank-you. Don't linger; the caller wants to act.
Tip

Aim for 15 to 25 seconds. At roughly 1,000 characters per spoken minute, 300 to 400 characters is usually enough. Every extra sentence is time the caller spends waiting.

02Weekday after-hours scripts in English

Copy the version that fits your business and replace the brackets. Keep the tone of the rest of your phone menu, and say the hours the way people actually say them.

Standard businessEnglish · en
Thanks for calling [Company]. Our office is closed right now. We're open Monday to Friday, 9 a.m. to 5 p.m. Please leave your name, number and a short message after the tone, and we'll call you back the next business day.
Retail or delivery, with self-serviceEnglish · en
Hi, you've reached [Company]. We're closed for the day. You can track or change your order anytime in our app, or message us on WhatsApp at this number. Our team is back tomorrow from 9 a.m.
Clinic, with emergency guidanceEnglish · en
Thank you for calling [Clinic]. We're currently closed. If this is a medical emergency, please hang up and call your local emergency number. To book an appointment, visit our website, or call us again from 8 a.m. Sunday to Thursday.

If you serve the Gulf, remember working weeks differ: many organisations in the UAE work Monday to Friday, while most businesses in Saudi Arabia, Kuwait and Egypt work Sunday to Thursday. State your real days rather than copying ours.

03The same message in Arabic dialects

If your callers are Arabic speakers, speak their dialect. A Saudi voice reading a stiff formal line sounds odd, so each script below is written in the dialect its voice speaks. The English gloss shows what it says.

Saudi · weekdaySaudi · ar-SA

Kuwaiti · weekdayKuwaiti · ar-KW

Modern Standard Arabic · formalMSA · ar

Thank you for calling [Company]. Our offices are closed; hours are Sunday to Thursday, 9 a.m. to 5 p.m. Leave a message after the tone and we'll call you back soon.

04Weekend messages and emergency lines

At the weekend, callers need to know exactly when you're back, not just that you're closed. If your business handles urgent cases, such as a clinic, maintenance or insurance, the emergency number is the most important line in the message.

Weekend with 24/7 emergency lineEnglish · en
Thanks for calling [Company]. We're closed for the weekend and reopen Sunday at 8 a.m. If you have an urgent repair, call our 24-hour line on [number]. That's [number]. For anything else, leave a message after the tone.
Heads-up

Never say “call our emergency line” without the number. If you don't actually run one, don't imply it; point to the nearest real alternative, such as WhatsApp or a web form.

05Ramadan hours and public holidays

During Ramadan, many Gulf businesses change their hours, and some run two shifts, one in the morning and one late at night. The most common complaint is an old message still playing, so callers ring during normal hours and find you closed. Record the Ramadan version a week early and schedule the switch.

Ramadan, two shiftsEnglish · en
Thanks for calling [Company], and Ramadan Kareem. During Ramadan we're open from 10 a.m. to 3 p.m., and again from 9 p.m. to 1 a.m. Outside those hours, message us on WhatsApp and we'll reply in the next shift.
Saudi · Eid al-FitrSaudi · ar-SA

Happy Eid, and many happy returns. [Company] is closed for Eid al-Fitr and back on [day, date]. You can track your orders in the app anytime.

Public holidayEnglish · en
Thanks for calling [Company]. Our offices are closed for the public holiday and reopen on [day, date]. You can still track your order in our app, or leave a message after the tone.

Times in these examples are illustrative. Use your real hours, and if an official decision sets Ramadan working hours for your sector, follow it. Always name the day you return; “after the holiday” leaves callers guessing.

06Turn the script into a phone-ready audio file

  1. 1Voice: in Text to speech, pick a voice from the Voice library in your callers' language or dialect, and use the same voice across your whole phone system.
  2. 2Pronunciation: add your company and branch names to the pronunciation dictionary once, so every prompt says them right.
  3. 3Numbers: write phone numbers the way you want them read, digit by digit, and listen before exporting.
  4. 4Export: download WAV on a paid plan and convert it to your system's format; many phone systems ask for 8 kHz mono.
  5. 5Updates: when hours change, edit the line and regenerate, no studio booking needed.

Cost is small. A 400-character message uses 480 credits on Vox Prime or 320 on Vox Edge. A full set of five messages, weekday, weekend, Ramadan and two holidays, fits inside Starter's 5,000 monthly credits, with the commercial rights any business phone line needs.

07Before you go live: a quick checklist

  1. 1Call yourself: dial the line from an ordinary mobile after hours and listen to the end.
  2. 2Check the numbers: phone numbers and times should be read exactly as written, digit by digit.
  3. 3Match the hours: the days and times must match your website, map listing and app.
  4. 4Remove the old file: make sure last season's message is actually switched off.
  5. 5Test the voicemail: leave a message and confirm someone receives it the next morning.
  6. 6Diary the next change: put the Ramadan, Eid and national holiday switches in your calendar now.

Three minutes of testing saves a lot of frustrated calls. And because the audio is generated from text, fixing a wrong time is a one-line edit and a regenerate, not another recording session.

08Mistakes that make callers hang up

  • Long welcomes: a brand slogan and a history of the company before the hours.
  • Vague returns: “we'll be back soon” instead of a day and time.
  • Stale messages: last Ramadan's hours still playing in Shawwal.
  • Dead ends: no WhatsApp, app or voicemail, just “call again later.”
  • Mismatched voices: the after-hours message sounds nothing like the main menu.

Your after-hours message is part of your brand's sound, the same as your greeting and hold audio. For the full phone flow, our guides to IVR scripts and call-center greetings walk through every prompt.

Key takeaways

  • Say you're closed, when you reopen, what callers can do now, and an emergency number if you have one.
  • Keep it to 15 to 25 seconds, roughly 300 to 400 characters, in your callers' language.
  • Prepare weekend, Ramadan and holiday versions in advance and always name the return day.
  • A five-message set fits in Starter's monthly credits and updates by editing a line and regenerating.

Frequently asked questions

How long should an after-hours phone message be?

Usually 15 to 25 seconds, or about 300 to 400 characters. Longer and callers lose patience; shorter and you can't fit the hours and an alternative.

What should I say in an after-hours voicemail greeting?

Your company name, that you're closed, your exact hours, what the caller can do now, such as WhatsApp or your app, and an emergency number if you have one. Then invite them to leave a message.

Should my after-hours message be in Arabic or English?

Use the language most of your callers speak, in their dialect if they're Arabic speakers. For mixed audiences, put Arabic first and English straight after, or offer English as a menu option.

How much does an after-hours message cost on Vocla?

A 400-character message is 480 credits on Vox Prime or 320 on Vox Edge. Using it on a business line requires a paid plan, Starter or above.

What file format do phone systems need?

Download WAV on a paid plan, then convert to whatever your provider specifies. Many phone systems ask for 8 kHz mono, so check your provider's requirements.
