Quick answer

A good call center greeting script names the business in one sentence, then gives three or four options with the most requested first and an agent last; the live agent then opens with greeting, company, first name and an open question. Match the Arabic dialect to your callers, MSA for banks and mixed audiences, and give English its own native script.

01What a complete greeting set includes

The first ten seconds of a call centre greeting set the tone for the whole call. A long welcome and a crowded menu make callers mash zero; a clear voice in their own dialect that gets them to the right option fast makes them stay. Below are copy-ready Arabic greetings, written natively in each dialect, for clinics, restaurants, retail and bank-style lines.

Menu-writing rules (sentence length, option-then-digit order, file naming) live in our guide to writing IVR scripts. Here we focus on the greetings themselves, the dialect choice, and getting the audio onto your phone system.

Before you copy anything, list every prompt your system plays. The table below gives sensible target lengths, using the rule of thumb that roughly 1,000 characters make one spoken minute:

PromptWhen it playsTarget lengthApprox. characters
WelcomeStart of every call4 to 6 seconds70 to 100
Main menuRight after the welcome12 to 20 seconds200 to 330
Hold messageWhile queuing, on a loop8 to 12 seconds130 to 200
After hoursOutside opening hours15 to 20 seconds250 to 330
Invalid inputWrong key pressed3 to 4 seconds50 to 70
Tip

Read each prompt aloud with a stopwatch before generating it. If the welcome runs past six seconds, cut a sentence. It is usually a line like “your call is important to us” that nobody needs to hear.

02Fusha or dialect: decide by who calls you

Should the greeting be in Modern Standard Arabic (Fusha) so it sounds official, or in dialect so it sounds friendly? Look at your callers, not your head office. A Riyadh dental clinic with mostly Saudi patients sounds warmer in Saudi Arabic. A logistics company serving the whole Gulf and its large expatriate communities is safer with clear MSA. Banks and government bodies usually pick MSA to match their register.

Modern Standard Arabic

أهلًا بكم في خدمة العملاء. لتتبّع طلبكم اضغطوا 1، وللتحدث إلى موظف اضغطوا 0.

Saudi

هلا فيك في خدمة العملاء. إذا تبي تتابع طلبك اضغط 1، وإذا تبي تكلم موظف اضغط 0.

Both lines mean “Welcome to customer service. To track your order press 1, to speak to an agent press 0.” The Saudi version addresses one person with everyday words like tabi (you want), so it sounds like a receptionist rather than a sign on the wall. Simple MSA is still pleasant; only ornate phrasing feels cold.

Heads-up

Never mix two dialects in one call. An Egyptian welcome followed by an MSA menu sounds stitched together. Keep one voice and one dialect per branch of the menu.

03Live agent call center greeting script: what to say when you pick up

The recorded welcome is only half the greeting. Once a caller presses 0, the first line from a real person should carry on in the same tone and the same dialect; otherwise it feels like being transferred to a different company. Put the agent greeting in your team playbook instead of leaving it to each agent.

  1. 1Greeting: one word that fits the dialect, such as hala, marhaba or ahlan. No speeches.
  2. 2Company name: exactly as the recorded welcome says it.
  3. 3First name: builds trust and gives the caller someone to ask for later.
  4. 4Open question: “How can I help?” beats “Go ahead” or “What is the problem?”

Tip

Generate these lines in Vocla with the same voice as your phone menu and play them in onboarding. New agents copy a tone they can hear much faster than one described on paper.

04Clinic and medical centre scripts

Callers to a clinic are often worried or rushed: they need booking fast and emergency guidance immediately. A Saudi script for a private clinic:

Clinic welcome and menuSaudi · ar-SA
هلا والله، حياك في عيادات النخبة. إذا حالتك طارئة، اتصل بالإسعاف على طول أو توجّه لأقرب طوارئ. إذا تبي تحجز موعد أو تغيّره، اضغط 1. لنتائج التحاليل والأشعة، اضغط 2. للاستفسار عن التأمين، اضغط 3. وإذا تبي تكلم الاستقبال، اضغط 0.

Welcome to Al Nukhba Clinics. If it's an emergency, call an ambulance right away or go to the nearest ER. To book or change an appointment, press 1. For lab and imaging results, press 2. For insurance questions, press 3. To speak to reception, press 0.

The emergency line comes before the menu on purpose. For after hours, an MSA version for a centre whose patients come from many nationalities:

Medical centre after hoursMSA · ar
شكرًا لاتصالك بمركز الرعاية الطبي. انتهت ساعات العمل لهذا اليوم، ونستقبل اتصالاتكم من السبت إلى الخميس، من الثامنة صباحًا حتى العاشرة مساءً. يمكنك حجز موعدك في أي وقت عبر تطبيقنا. وفي الحالات الطارئة، يُرجى التوجّه إلى أقرب قسم طوارئ أو الاتصال بالإسعاف.

Thank you for calling Al Riaya Medical Centre. We're closed for today; we take calls Saturday to Thursday, 8 a.m. to 10 p.m. Book any time in our app. In an emergency, go to the nearest emergency department or call an ambulance.

Heads-up

Only put an emergency number in a prompt after confirming it officially for your country and city. A wrong number in a medical message is far worse than none.

05Restaurant, retail and pharmacy scripts

For restaurants and shops the priority is the sale: ordering and delivery first. The tone is lighter, and local dialect makes a visible difference. An Egyptian restaurant:

Restaurant menuEgyptian · ar-EG
أهلًا بيك في مطعم بيت الكرم. لو عايز تطلب دليفري، دوس 1. لو عايز تحجز ترابيزة، دوس 2. لو عندك ملاحظة على طلب قبل كده، دوس 3. ولو حابب تكلم حد من الفرع، دوس 0.

Welcome to Beit El Karam restaurant. For delivery, press 1. To book a table, press 2. If you have feedback on a previous order, press 3. To talk to someone at the branch, press 0.

An Emirati store, with local words like marhaba al-saa (a warm welcome), haq (for) and taba (you want):

Retail store menuEmirati · ar-AE
مرحبا الساع، ويّاك خدمة عملاء معرض الواحة. حق تتبّع طلبك، اضغط 1. حق الاستبدال والاسترجاع، اضغط 2. إذا تبا تعرف مواقع فروعنا وأوقات الدوام، اضغط 3. وحق تكلّم واحد من الموظفين، اضغط 0.

A warm welcome, you're through to Al Waha showroom customer service. To track your order, press 1. For exchanges and returns, press 2. For branch locations and opening hours, press 3. To speak to a member of staff, press 0.

A Jordanian pharmacy, opening with the question pharmacies hear most:

Pharmacy menuJordanian · ar-JO
أهلا وسهلا فيك بصيدلية الشفا. إذا بدك تتأكد إنه الدوا متوفر، اكبس 1. لطلبات التوصيل، اكبس 2. لمواعيد الدوام وعناوين الفروع، اكبس 3. وإذا بدك تحكي مع الصيدلاني، اكبس 0.

Welcome to Al Shifa pharmacy. To check whether a medicine is available, press 1. For delivery orders, press 2. For opening hours and branch addresses, press 3. To talk to the pharmacist, press 0.

And a short Lebanese hold message for any shop or restaurant:

Hold messageLebanese · ar-LB
شكرًا إنك ناطر معنا. كل موظفينا مشغولين هلّق، وأول ما يفضى حدا رح يرد عليك. فيك كمان تطلب أونلاين من موقعنا بأي وقت.

Thanks for waiting. All our staff are busy right now; the first one free will answer you. You can also order online on our website at any time.

06Bank-style and finance scripts

Banking lines are longer by nature, so start with language selection and keep the main menu short. More important than the order is the fraud-awareness line, which is part of how customers decide to trust you. An MSA script in a bank style, for a fictional bank:

Bank-style menuMSA · ar
أهلًا بكم في الخدمة الهاتفية لمصرف الأمانة. للعربية اضغط 1، For English press 2. للاستفسار عن الرصيد والحركات، اضغط 1. لإيقاف بطاقة مفقودة أو مسروقة، اضغط 2. للإبلاغ عن عملية مشبوهة، اضغط 3. للتحدث إلى موظف خدمة العملاء، اضغط 0. تنبيه: لن يطلب منك موظفونا أبدًا رمز التحقق أو الرقم السري.

Welcome to Al Amana Bank phone banking. For Arabic press 1, for English press 2. For balance and transactions, press 1. To block a lost or stolen card, press 2. To report a suspicious transaction, press 3. To speak to an agent, press 0. Reminder: our staff will never ask for your verification code or PIN.

For a local finance company with a Saudi customer base, the card-blocking branch can switch to dialect, because the person hearing it has just lost their card and is stressed. The English branch should get its own native prompt rather than a word-for-word translation:

Card blockingSaudi · ar-SA
لا تشيل هم، بنوقف بطاقتك الحين. دخّل رقم الهوية متبوع بعلامة المربع. وتذكّر: ما راح نطلب منك الرقم السري ولا رمز التحقق أبد.

Don't worry, we'll block your card now. Enter your ID number followed by the hash key. And remember: we will never ask for your PIN or verification code.

English branchEnglish · en
You've reached Al Amana phone banking. To block a lost or stolen card, press 1. For balances and recent transactions, press 2. To speak to an agent, press 0. We will never ask for your PIN or one-time code.

Whether Arabic or English comes first, and how to keep one persona across both languages, is covered in our bilingual IVR guide.

Thank you for calling Northgate Clinic. Our opening hours are 9 am to 9 pm, Sunday to Thursday. Please leave a message after the tone and we’ll call you back as soon as we open.

Paste it into Vocla, generate one file per message, then export mono WAV at 8 kHz for your phone system.

Once the text is final:

  1. 1One prompt per generation: each prompt becomes its own file, so you can change one without redoing the rest.
  2. 2One voice in the right dialect: a calm, clear voice beats a dramatic one on a phone line.
  3. 3Fix pronunciation: add the business name and branch names in the pronunciation and tashkeel tools so every prompt says them the same way.
  4. 4Download WAV: WAV export is on paid plans and is the best source for conversion; MP3 is available on every plan.
  5. 5Convert for telephony: most systems want 8 kHz mono WAV. Run ffmpeg -i in.wav -ar 8000 -ac 1 out.wav
  6. 6Upload and test: add the files as prompts or announcements in your system, then call from a real mobile and listen to every option.
Tip

Check your platform's documentation before converting. Some systems want G.711 A-law or µ-law instead of plain PCM WAV; only the codec part of the command changes.

08Updates and cost: Ramadan hours in minutes

The real payoff of generated prompts is every change after the first recording. Ramadan hours? Edit one line, regenerate that file, convert and upload. No studio booking, and the same voice every time. That consistency matters: one voice across your phone line, ads and videos is the core of a recognisable brand sound.

  • Ramadan: keep a separate hours file, swap it in on day one and switch back after Eid.
  • Eid holidays: state the exact reopening date, not a vague “after the holiday”.
  • National days: one short message is enough; don't stretch the welcome with greetings.

Cost is modest. A full set of about eight prompts is usually around 1,500 characters, roughly a minute and a half of speech. Starter, $4.99 a month for 5,000 credits with commercial rights and WAV export, covers it with room for revisions. Our cost guide shows the arithmetic.

Business names in these scripts (Al Nukhba Clinics, Beit El Karam, Al Waha, Al Shifa, Al Amana Bank) are fictional examples and do not refer to real organisations. The Free plan has no commercial rights, so live phone prompts need a paid plan.

Key takeaways

  • Keep the recorded welcome to four to six seconds, and make the live agent greeting continue in the same tone and dialect.
  • Choose the dialect by caller: local dialect for everyday services, MSA for banks, government and mixed audiences.
  • Use one voice and one dialect per menu branch, and one file per prompt.
  • Export WAV from Vocla, convert to 8 kHz mono, and test on a real phone before going live.

Frequently asked questions

How long should an IVR greeting be?

About four to six seconds, or 70 to 100 characters. Say the business name once, then go straight to the menu.

Should my Arabic IVR use MSA or a dialect?

It depends on your callers. A local dialect suits clinics, restaurants and local shops; MSA suits banks, government services and companies serving callers from several countries.

What audio format does a phone system need?

Most phone systems want mono WAV at 8 kHz. Export WAV from Vocla and convert it with one ffmpeg command. Check your platform's docs, as some require A-law or µ-law.

Can I use the Free plan for live phone prompts?

The Free plan is for trying things out and has no commercial rights. For live prompts you need Starter or above, which also unlocks WAV export.

How many options should the main menu have?

Four at most per level, plus 0 for an agent. If you need more, move the rest into a sub-menu.

What should an agent say when answering a call?

A short greeting in the caller's dialect, the company name exactly as the recorded welcome says it, the agent's first name and an open question such as “How can I help you today?”. Keep it under five seconds and make it the same for the whole team.
