Arabic Meeting Transcription: From a Recording to Written Minutes, Decisions and Action Items
Turn an Arabic meeting recording into written minutes: recording and consent tips, transcription with speakers, review, a minutes template and costs.
In this article
For Arabic meeting transcription, record with everyone's consent and clear audio, clean up noise if needed, then upload the file to a speech to text tool that labels speakers and timestamps every word. Review the transcript and rename speakers, then move decisions and action items into a minutes template with the recording time of each point, and export to Word.
01Arabic meeting transcription, end to end
Anyone who has written meeting minutes knows the problem: an hour of discussion, five people talking, and a few scribbled notes that don't cover it. Typing up the recording by hand takes three to four hours per meeting hour. Automatic transcription removes the heaviest part, writing down what was said, and leaves you the part that needs a human: understanding what was decided and who owns what.
| Stage | What you do | Rough time for a one-hour meeting |
|---|---|---|
| Recording | Get consent, record clearly | Two minutes before you start |
| Clean-up | Remove noise if the audio is rough | A few minutes |
| Transcription | Upload and wait for the speaker-labelled text | Usually minutes |
| Review | Rename speakers, fix names | 15 to 30 minutes |
| Minutes | Pull decisions and actions into the template | 20 to 40 minutes |
To be clear up front: Vocla transcribes the recording, detects speakers, timestamps every word and can translate the transcript, but it does not write a summary or minutes automatically. You write the minutes from the transcript, and the template below makes that quick.
02Before the meeting: consent and a recording worth transcribing
The first step isn't technical. Tell attendees the meeting is being recorded and why, and get their agreement. It's basic courtesy, and rules and company policies differ by country and organisation, so follow local law and your own policy, and check with your legal team when external parties or sensitive information are involved.
قبل لا نبدأ، بنسجل الاجتماع عشان نكتب المحضر بدقة.
التسجيل للاستخدام الداخلي بس، وبنحذفه بعد ما نعتمد المحضر.
أحد عنده مانع؟Before we start, we'll record the meeting so we can write accurate minutes. The recording is for internal use only, and we'll delete it once the minutes are approved. Does anyone object?
Quick note before we start: we're recording this meeting for the minutes only.
The recording stays internal and will be deleted once the minutes are approved.
If anyone would rather we didn't record, please say so now.Once everyone agrees, recording quality is the biggest factor in transcript quality. Practical tips for office and online meetings:
- Get the mic close: a phone in the middle of the table beats a laptop at one end, and a conference mic beats both.
- One speaker at a time: crosstalk is the hardest thing for any transcription tool and for whoever writes the minutes.
- Do a round of introductions: hearing each name early helps you rename speakers later.
- Avoid noise sources: a nearby AC vent, a cup set down on the mic, windows over a busy street.
- Online meetings: use the meeting platform's recording feature and ask people to wear headsets.
- Save a common format: MP3, M4A, WAV or MP4, named with the date and meeting title.
03Clean up noisy recordings first
If the meeting happened in a café, next to a loud air conditioner, or over a phone call, run the file through a voice cleaner before transcribing. Vocla's voice cleaner removes background noise such as traffic, hum and room chatter from speech, with adjustable strength, and takes recordings up to an hour long. It removes what's around the voice without changing who is speaking.
Start at medium strength and listen. Heavy cleaning on a lightly noisy file can make speech sound less natural without helping the transcript.
04Transcribing the meeting in Vocla
- 1Upload the file: audio or video in Speech to text, up to 500 MB per file.
- 2Choose the language or leave it on auto: Arabic, English and French are detected directly; for a known dialect or a meeting that mixes languages, pick the language yourself.
- 3Add the names list: attendees, clients, projects and products, so they're spelled your way.
- 4Start: you see the cost first, and credits are refunded if a transcript fails.
- 5Get the transcript: every line is labelled Speaker 1, Speaker 2 and so on with its time, and every word is timestamped.
Transcription costs 150 credits per started minute of the file's length, and translation adds 60 credits per minute. Transcription is on paid plans, and each one caps the length of a single file:
| Plan | Longest file | 30-minute meeting | 60-minute meeting |
|---|---|---|---|
| Free | Not included | — | — |
| Starter | 30 minutes | 4,500 credits | Two files, 9,000 credits |
| Professional | 120 minutes | 4,500 credits | 9,000 credits |
| Enterprise | 300 minutes | 4,500 credits | 9,000 credits |
Starter's 5,000 monthly credits cover about 33 minutes of transcription, enough for a short meeting or two a month. For regular long meetings, Professional's 80,000 credits and two-hour files fit better. Transcription isn't on the Free plan; it's included on every paid plan.

On a clear recording most words come out right, but don't copy straight into the minutes. Spend fifteen minutes in the editor, where each line and word is highlighted as it plays and you can click any line to hear it.
- Rename speakers: change Speaker 1 to “Eng. Khalid” once and it updates everywhere.
- Fix recurring names: use find and replace for a client or project name that came out wrong.
- Reassign lines: overlapping or similar voices can land two people's lines on one speaker.
- Add punctuation: transcripts come without tashkeel and punctuation inside a line can be sparse.
- Split or merge: cut a long line where a new idea starts, or join two short ones.
While reviewing, jot down the timestamp of every decision or action item. Those timestamps become the skeleton of your minutes, and anyone can go back to the recording to check.
06Write the minutes from the transcript: a template
Minutes aren't a shortened transcript; they're a record of decisions. Don't retell the discussion. Write what was decided, who will do what, and by when. Copy this template and fill it from the transcript:
Meeting minutes: [Meeting name]
Date: [Day and date] | Time: [Start - end] | Location or link: [ ]
Attendees: [Names and roles]

Here is how one casual line from a Saudi transcript becomes a formal minutes entry with its timestamp:
قرار: تأجيل إطلاق الحملة إلى الأسبوع الأول من نوفمبر، وتتولى سارة تحديث خطة المحتوى قبل يوم الخميس (00:23:15).
خلاص نأجل الحملة لأول أسبوع في نوفمبر، وسارة تحدّث خطة المحتوى قبل الخميس، تمام؟
The spoken line means “OK, let's push the campaign to the first week of November, and Sara updates the content plan before Thursday, right?” The minutes entry turns it into a decision with an owner, a deadline and a reference time.
- 1Decisions first: go through your timestamps and write each decision clearly.
- 2Then action items: every task needs an owner and a date, or it isn't a task.
- 3Then the summary: two lines per agenda item is enough; detail lives in the transcript.
- 4Send the draft for sign-off: have the chair approve it before circulating.
07Export and share
Vocla exports the transcript in six formats, each with a job: Word with right-to-left Arabic paragraphs and bold speaker names, the best starting point for minutes; CSV that opens Arabic correctly in Excel, handy for an action tracker; TXT for plain text; SRT and VTT if the meeting is a video you'll publish with subtitles; and JSON for internal tools. Each export can show or hide speaker names and timestamps.
If some stakeholders don't read Arabic, translate the transcript into English: each line appears next to its translation with the same time, and you can export a bilingual file. In team workspaces, viewers can read and export while editors edit and translate.
Vocla works on uploaded files only; there is no live transcription during the meeting. Once the minutes are approved, delete the recording and transcript if your organisation's policy requires it.
Key takeaways
- Get attendees' consent to record, and record with a close mic and one speaker at a time.
- Add attendee and project names to the names list before transcribing, and clean noisy audio first.
- Vocla transcribes with speakers and timestamps but doesn't write minutes; pull decisions and actions out yourself with the template.
- Transcription is 150 credits a minute, so an hour is about 9,000 credits, and each paid plan caps file length.
Frequently asked questions
How do I transcribe an Arabic meeting recording?
Upload the file to a speech to text tool, choose the language or leave it on auto, and add attendees' names to the names list. You'll get a transcript split by speaker with a time on every line; review it and rename speakers before writing the minutes.
Does Vocla write meeting summaries or minutes automatically?
No. Vocla transcribes speech, labels speakers, adds timestamps and translates if you need it; you write the minutes from the transcript. The template in this article speeds that up.
How much does it cost to transcribe a one-hour meeting?
Transcription is 150 credits per started minute, so an hour is about 9,000 credits, plus 60 credits a minute for translation. Starter's longest file is 30 minutes, so split the recording or use Professional.
Can it tell speakers apart?
Yes. Speakers are detected automatically and each line is labelled Speaker 1, Speaker 2 and so on, which you can rename once. Overlapping speech or very similar voices may need manual fixes.
Do I have to tell attendees the meeting is recorded?
We always recommend telling attendees and getting their agreement before you start. Rules and organisational policies vary by country, so follow local law and your own policy, and ask your legal team when in doubt.
